  • Financial and accounting records are usually kept for 6 years for tax and accounting purposes.
  • Marketing records are kept until you withdraw consent or unsubscribe, unless we need to keep a suppression record to ensure you are not contacted again.
  • Website analytics data is kept in accordance with the retention settings of our analytics tools and cookie settings.

05 Booking, Deposit, Cancellation & Refund Policy

This policy explains what to expect when booking with Skinova Aesthetics, including deposits, rearrangements, cancellations, refunds, package bookings and retail product purchases. By booking an appointment, you accept this policy.

Bookings

Appointments can be booked online, by phone, by message or in clinic. All treatments are subject to consultation, suitability assessment and informed consent. We reserve the right to decline, postpone or modify a treatment on clinical, safety, legal or professional grounds.

Consultations and mandatory waiting period

Some treatments require a consultation and a mandatory waiting period before treatment can proceed, particularly injectables and medical procedures. This is to support your safety, allow time for questions and ensure informed consent.

Deposits

To secure your appointment, we require a non-refundable deposit of GBP 10, taken through our secure booking system or agreed payment route. The deposit is redeemed against the cost of your treatment on the day.

If you need to rearrange, the deposit can be carried over to another treatment booked within 3 months of the date the deposit was paid, provided you give adequate notice. After 3 months, an unused deposit expires and is non-refundable unless a refund is required by law or we cancel/cannot provide the appointment.

Rescheduling and cancellations

  • At least 48 hours’ notice is required for cancellations & 24 hours’ notice is required to reschedule your appointment. Where the required notice is given, your deposit can be carried over to a rearranged appointment within the 3-month deposit period.
  • Less than 48 hours' notice: the deposit is forfeited and a new deposit is required to rebook.
  • No-show: the deposit is forfeited and a new deposit is required to rebook.
  • If Skinova Aesthetics cancels or cannot provide your appointment, including on clinical or safety grounds, your deposit will be refunded or transferred to a suitable alternative appointment.

Deposits are non-refundable where a client cancels late, does not attend, or chooses not to proceed after booking, except where a refund is required by law or where Skinova Aesthetics cancels or cannot provide the appointment.

Late arrivals

Please arrive on time. If you arrive late, we will do our best to accommodate you, but your appointment may be shortened or rescheduled to protect other clients' appointments. A shortened treatment may still be charged in full.

Refunds for treatments

Aesthetic treatments are personalised services. Results vary between individuals and cannot be guaranteed. We do not offer refunds for treatments that have been properly carried out with reasonable care and skill. This does not affect your statutory rights.

If a service is not provided with reasonable care and skill, or does not meet the standard required by law, you may be entitled to an appropriate remedy under the Consumer Rights Act 2015.

Online, phone and distance bookings

Where a booking is made online, by phone or by other distance method, any statutory cancellation rights will be applied in accordance with the Consumer Contracts Regulations 2013. If you ask us to provide a consultation or treatment within any applicable 14-day cancellation period, you agree that we may begin providing the service. Once a treatment has been fully provided, you may lose the right to cancel that service. This does not affect your statutory rights.

Packages and prepaid courses

Prepaid courses and treatment packages are non-refundable once started, unless a refund or remedy is required by law. Unused, unstarted sessions may be discussed with us and may be transferred, credited or refunded at our discretion depending on the circumstances, expiry period and clinical suitability.

Retail products

Retail product returns are handled under our Retail Product Returns Policy. Products must generally be unopened, unused and in resaleable condition unless faulty or damaged.

Pricing

Prices on the website, booking system, social media, advertisements or price list are a guide and may be confirmed at consultation. We reserve the right to amend prices. The price quoted at booking or consultation applies to that appointment unless a different agreement is made.

07 Prescribing, Injectables & Medical Treatment Policy

Prescription-only treatments

Face-to-face assessment

Normal side effects

09 Clinic Etiquette & Safety Policy

To keep Skinova Aesthetics a safe, calm and professional environment for everyone, we ask all clients to observe the following.

Arrival

Please arrive 5-10 minutes before your appointment to complete any paperwork. Complete medical history and consent forms honestly and in full. This is essential for your safety.

Health and suitability

Tell us about any medical conditions, medications, allergies, pregnancy or breastfeeding, previous treatments or changes in your health. Some treatments are not suitable in certain circumstances and may be declined or postponed on safety grounds.

Children and guests

For safety, insurance and confidentiality reasons, we are unable to treat clients accompanied by unattended children and we ask that children are not brought into treatment rooms. Please keep accompanying guests to a minimum unless assistance or a chaperone has been agreed.

Infection prevention and control

Please do not attend if you are unwell, have symptoms of a contagious illness, have an active skin infection in the treatment area, or have been advised not to attend. Contact us to rearrange.

Respect and conduct

We are committed to a respectful, inclusive environment. Abusive, threatening, discriminatory, aggressive or inappropriate behaviour towards our team or other clients will not be tolerated and may result in treatment being refused, the appointment ending and future bookings being declined.

Mobile phones and privacy

Please keep phones on silent in treatment areas. Filming or photographing other clients, staff or clinical areas is not permitted without prior consent. This protects privacy and confidentiality.

10 Photography, Clinical Images & Marketing Consent Policy

Clinical photographs

For many treatments, clinical photographs may be needed to record your baseline, support treatment planning, monitor progress, assess outcomes, maintain clinical records and support safe care. These images form part of your confidential clinical record.

Marketing photographs and videos

We will only use your identifiable photographs, videos, testimonials or treatment content for marketing with your separate explicit consent. No pressure

You do not have to agree to marketing photography or video. Refusing marketing consent will not affect the care or treatment you receive.

Withdrawing consent

You may withdraw marketing consent at any time by contacting us. We will stop future use where reasonably possible. Content already printed, shared by third parties, cached, reposted or otherwise outside our direct control may not be fully removable.

Client filming

Clients must not film or photograph staff, other clients, treatment rooms or clinical activity without prior permission. Where filming is agreed, it must not interfere with safe treatment or another person's privacy.

13 Chaperone Policy

Skinova Aesthetics is committed to protecting client dignity, privacy and practitioner safety. This policy explains when a chaperone may be requested or required.

Client request

Clients may request a chaperone for consultations or treatments where appropriate. Please tell us when booking or before treatment if you would like a chaperone present.

Clinic requirement

Skinova Aesthetics may require a chaperone in certain circumstances to protect client and practitioner safety, dignity and professional standards. This may include intimate or sensitive treatment areas, safeguarding concerns, language/support needs, or where clinically or professionally appropriate.

Confidentiality

A chaperone must respect confidentiality and privacy. Their role is to provide support and observe professional boundaries, not to make treatment decisions for the client unless they have legal authority and the situation requires it.

If a chaperone is not available

If a required chaperone is not available, we may need to postpone or rearrange the appointment.

16 Safeguarding & Under-18s Statement

Skinova Aesthetics is committed to safeguarding the welfare of all clients, including adults at risk, and to providing treatment safely, lawfully and ethically.

Minimum age for treatment

Our minimum age for treatment is 18. We do not provide treatments to anyone under the age of 18.

Botulinum toxin and dermal fillers

Under the Botulinum Toxin and Cosmetic Fillers (Children) Act 2021, it is unlawful in England to administer botulinum toxin or dermal fillers for cosmetic purposes to anyone under the age of 18. We do not provide these treatments to under-18s under any circumstances, and we do not accept a parent's or guardian's consent as an exception.

Age verification

We may ask for photographic ID to confirm age before treatment. If we are not satisfied that a client meets the minimum age, we will decline treatment and may cancel the booking.

Adults at risk

We are alert to the needs of adults who may be vulnerable or at risk. We will consider capacity to consent, offer appropriate support where possible, and treat clients with dignity and respect.

Our safeguarding commitment

  • Staff understand their responsibility to recognise and respond to safeguarding concerns.
  • Our named Safeguarding Lead is Claudia Bogdan (Director).
  • Safeguarding concerns are recorded and, where appropriate, referred to the local authority safeguarding team, police or emergency services.
  • In an emergency where someone is at immediate risk of harm, we will call 999.

Raising a safeguarding concern

If you have a safeguarding concern about yourself or someone else, please speak to our Safeguarding Lead or contact your local authority. You can also contact the NSPCC on 0808 800 5000 for concerns about a child or your local adult safeguarding team for concerns about an adult at risk.

11 Retail Product Returns Policy

For hygiene and safety reasons, opened skincare, supplements, cosmetics or products with broken seals cannot usually be returned unless faulty.

Faulty or damaged products

If you wish to raise a complaint, please contact Claudia Bogdan (Nurse/Director) in writing at complaints@skinovaaesthetics.com, or by completing our online complaints form (form). Please include your name, contact details, the date of your treatment and a description of your concern.

How we handle your complaint

  1. Acknowledgement: we aim to acknowledge your complaint within 2-3 working days.
  2. Investigation: we will investigate fully and fairly, reviewing records and speaking with relevant team members where needed.
  3. Response: we aim to provide a full written response within 28 days. If we need longer, we will explain why and keep you updated.
  4. Resolution: our response will explain our findings and any action taken to put things right or prevent recurrence.

If you are still not satisfied

If you are unhappy with our response, you may be able to escalate your complaint to a relevant external body depending on the nature of your concern:

  • For the conduct of a practitioner: the relevant professional regulator. Our practitioners include professionals registered with the Nursing and Midwifery Council (NMC), where applicable - nmc.org.uk.
  • For standards in non-surgical cosmetic treatment: the Joint Council for Cosmetic Practitioners (JCCP), where applicable - jccp.org.uk.
  • For a data protection concern: the Information Commissioner's Office (ICO) - ico.org.uk.

All complaints are treated confidentially and will not affect the care you receive.
