Further, they must process the personal information in accordance with this Privacy Notice and as permitted by applicable data protection laws.

Your personal data is collected when you provide it to us through Phorest software, our website, over the phone, in the clinic, by email, social media, or in writing. Information is stored using the Phorest software platform as well as some level of paper record keeping.
Data Retention
Skinova Aesthetics retains your personal data for as long as necessary to provide you with our services. We are required under tax laws to keep your personal data for a minimum of 7 years. Health and Safety records will be retained for 10 years.
Safeguarding your Personal Data
Appropriate measures are taken to protect your personal data from unauthorized access. Your connection to the Phorest system uses a HTTP Secure communication protocol and TLS security (encrypted during input and transfer). Any paper files are held in a locked filing cabinet accessible only by authorised personnel.

- Phorest Systems: Information is stored securely on our patient database. Both paper and digital records are treated with strict confidentiality.
- CCTV: CCTV may be used for your security. It is never used in private areas like WCs, changing rooms, or treatment rooms without your explicit consent.
- Access to Records: In accordance with GDPR and the Data Protection Act, you may request to see your medical records through the Clinic Manager.

- Opening Times: Our standard hours are 8am–8pm.
- Cancellations: If you cancel your appointment within 48 hours, your payment will be fully refunded.
- Fees: A full schedule of fees is available upon request. All treatment fees will be notified to you in advance to give you time to consider the treatment.
- Settling Accounts: Patients are required to settle their accounts promptly and in full.

- Mutual Respect: We ask that you afford the same courtesy to our staff and other patients as you expect to receive yourself.
- Zero Tolerance: Loud, abusive, or aggressive behaviour will not be tolerated. We reserve the right to refuse treatment or involve the police if necessary.
- Substance Policy: Smoking is not permitted on or near the premises. Patients under the influence of alcohol or other substances will be asked to leave.
- Chaperones: If you wish for a chaperone to be present during your consultation or treatment, please let us know when booking.

- Our Pledge: All complaints are taken seriously and viewed as an opportunity to improve. No one will be victimised or treated unfairly for raising a concern.
- Resolution Timeline: We aim to resolve complaints informally within 24 hours. Formal complaints will be acknowledged within 3 days, with a full investigation response typically provided within 28 days.
- External Review: If you are not satisfied with our response, you have the right to take your complaint to an independent ombudsman or the Care Quality Commission (CQC).
